At SettleUp, we are committed to protecting your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard your personal information when you use our mobile application ("SettleUp"), designed for ledger management and transaction tracking.

Important Google Play Policy Compliance: SettleUp is an offline-first ledger that syncs with our servers. It requires sensitive permissions (Contacts and SMS) to function correctly. This policy explains exactly why we need these permissions and how we safeguard your data.

1. Information We Collect

To provide a robust offline-first bookkeeping experience, we collect information under the following categories:

A. Personal Information (Through Google Sign-In)

  • Google Profile Data: When you register or sign in using Google, we retrieve your Google account details including your name, email address, profile picture URL, and a unique identifier. This is used to create and authenticate your merchant profile.
  • Phone Number: We require you to provide a phone number to complete your business profile. This is stored securely on our servers to represent your merchant identification.

B. Sensitive Device Permissions

  • Contacts (READ_CONTACTS): SettleUp allows you to import customer entries directly from your device’s phone book. This permission is requested at runtime. Your contact list is processed locally on your device to prefill details (Name and Phone number) inside the app. We do not upload or store your entire contacts database on our servers. We only store details of the specific customers you choose to add to your ledger.
  • SMS (SEND_SMS): SettleUp enables you to send automated transactional updates (such as credits given or payments received) to your customers. SettleUp requests this permission so it can programmatically send transactional SMS alerts. If this permission is denied, SettleUp falls back to pre-filling the message inside your device's native SMS application, requiring your manual approval before dispatching.

C. Application Data & Attachments

  • Ledger & Transaction History: We store details of transactions you record (amount, description, date, and mode of payment). While the application works offline using a secure local database, this data is periodically synchronized with our backend servers to provide secure cloud backup and multi-device access.
  • Images & Attachments: If you choose to attach images (such as receipts, bills, or product photos) to transactions, we access your device storage/camera. These images are cached locally and synchronized with our secure server storage.

2. How We Use Your Information

We use the collected information for the following specific purposes:

  • To create and manage your merchant profile and maintain secure sessions.
  • To operate, sync, and support your digital ledger, customer lists, and transaction histories.
  • To send direct SMS transaction alerts to your ledger customers upon your explicit request.
  • To permit pre-filling and creation of new ledger customers from your phone book contacts.
  • To back up your data securely in the cloud to prevent loss in the event of device failure.

3. Data Protection & Security

We take administrative, technical, and physical security measures to safeguard your personal data:

  • Encryption in Transit: All communication between the SettleUp mobile client and our servers is encrypted using Secure Socket Layer/Transport Layer Security (SSL/TLS).
  • Local Security: Ledger data stored on your device is protected using standard sandbox container isolation provided by the operating system.
  • No Third-Party Sharing: We do not sell, rent, trade, or distribute your personal information, ledger records, customer names, or phone numbers to any third-party marketing companies.

4. Data Retention and Deletion

We retain your ledger details as long as your merchant account remains active. If you wish to delete your account and clear all associated records, you can do so directly by contacting support, or clicking the Logout button which immediately clears all cached transaction details and attachments from your local device storage.

5. Children’s Privacy

Our services are strictly meant for business management and bookkeeping by individuals aged 18 or older. We do not knowingly collect personal data from children under 13. If we discover that a child under 13 has provided us with personal information, we immediately delete it.

6. Changes to this Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy page and updating the "Last Updated" date at the top of this page. You are advised to review this policy periodically for any updates.
